Privacy notice

Last updated 24 October 2026

This notice explains what personal data Properties Vision collects, why, how long we keep it, and what you can ask us to do with it. This is a demonstration platform and this text is a template, not legal advice — have it reviewed before a live launch.

Who controls your data

Properties Vision operates this platform. For the data described below, we are the controller. Where you enquire about a specific property, the estate agent marketing it also receives your details and becomes a controller in its own right.

If you bid at auction, the auction house running the sale is a joint controller of the bidder records it needs to conduct the sale and to meet its anti-money-laundering obligations.

What we collect

Account data: your name, email address, a securely hashed password, and your role on the platform.

Listing and enquiry data: the messages you send to agents, your preferred viewing times, and saved searches.

Auction data: bids you place, including any maximum you set for proxy bidding, your bidder registration, and the outcome of lots you take part in.

Identity and anti-money-laundering data: where you register to bid, we and the auction house may hold identity documents, address verification and, above a threshold, evidence of funds. The Money Laundering Regulations require this.

Technical data: IP address, session identifiers, and records of pages you view. These are used to keep sessions secure and to count listing views.

Why we use it

To perform our contract with you: creating your account, submitting your enquiry to an agent, and running an auction you have entered.

To meet legal obligations: anti-money-laundering checks and record-keeping are required by law and cannot be waived at your request.

For our legitimate interests: preventing fraud and bid manipulation, keeping the platform secure, and understanding which listings are performing. We balance these against your rights.

With your consent: marketing emails and non-essential cookies. You can withdraw consent at any time without affecting your ability to use the platform.

Who we share it with

The estate agent or auction house you are dealing with, because that is the point of the enquiry or the bid.

Service providers who host the platform and send email, under contract and only on our instructions.

Authorities where we are legally required to disclose, including HMRC and law enforcement in connection with money-laundering checks.

We do not sell personal data.

How long we keep it

Anti-money-laundering records are kept for five years after the end of the business relationship, and then deleted. This period is set by law, and both halves matter: keeping records longer than required is itself a breach.

Auction records, including bid history and results, are kept for six years after the sale so that any dispute can be resolved. Bids are also part of the record of a legally binding transaction.

Account data is kept while your account is open and for a short period afterwards. You can close your account at any time.

Listing view counts are aggregated and do not identify you.

Your rights

You have the right to access your data, to have inaccurate data corrected, to have it erased where there is no legal reason for us to keep it, to restrict or object to certain processing, and to receive data you provided in a portable format.

The right to erasure does not override the anti-money-laundering retention duty. If you ask us to delete records we are required to keep, we will explain which records and why.

You can complain to the Information Commissioner's Office. We would prefer you raised it with us first so we can put it right.

How we protect it

Passwords are stored only as a salted hash and are never recoverable. Sessions are invalidated server-side on sign-out, so a copied session token stops working.

Data is transmitted over TLS. Access to production data is restricted to those who need it.

If a breach occurs that is likely to result in a risk to your rights, we will tell you and the Information Commissioner's Office without undue delay.

Cookies and similar technologies

We use a strictly necessary cookie to keep you signed in. It is required for the site to work and does not need consent.

See the cookies page for the full list and for how to control non-essential cookies.
